Persuasive Speech

PERSONAL ANALYSIS

I chose the topic about studying abroad because I believed it had a lot of content. Also, I wanted to express my point of view about studying abroad with the hope that my audience would agree with all or just part of the whole speech.
My introduction was effective. Mostly because I started off with a captivating topic sentence about the importance of joining higher institutions of learning. This would prepare the audience to hear more on the importance and easily agree with me on my topic about studying abroad. To establish credibility, I stated the important facts and also the advantages of having to study abroad.
By and large, I feel that my persuasive speech wasn’t the best. I feel that I should have been more organized and prepared so as to deliver the best and be in a position to persuade the audience. Though I was able to get the attention of the audience I could not sustain it although the speech.
In the conclusion I brought in positive energy, I projected my voice and used gestures. I also summarized the whole speech into one sentence which has the whole importance and purpose of the whole speech.
Though not fully, I managed to persuade my listeners to concur with me. During the speech, I observed that they were nodding in agreement and at times they even clapped. This is a clear indication that they were in agreement. My motivational appeals were effective mostly the logos appeal. Giving numbers and facts went along way in giving my audience tangible comparison to the facts given. I also used information that is at the disposal of almost everyone in order to set the foundation of the speech.
The rational appeals also went a long way in persuading my audience. I employed an approach known as convincing proof to help persuade my listeners. I gave an illustration of great leaders who went studying abroad and ended up being very useful and important people in their respective societies. Also, I used the second approach which is listing the benefits of a product or service. After listing and briefly explaining the importance of studying abroad, I could see the audience nodding in agreement. This approach mainly highlighted the benefits of studying abroad by the society and the individual student.
I never had any foreign citation the speech, but I had a specific outcome for the audience. I wanted them to concur with me under whatever costs. By using situational manipulation, I limited their options to almost none and had them to only agree with me. If I had the chance to do the speech all over again, I wouldn’t change the purpose of the speech I would only do more intensive research on the topic and work more on my delivering techniques. In contrast to my other speeches, this one was average and more manipulative.
In this speech, it wasn’t very dynamic though I decide to use cause and effect since cause and effect speeches are easier to write. This is because they show how something positive or negative can happen if you do something. So long as I had enough creditable sources, I really never had to do a lot of persuading since the truth is in the pudding.
People are usually more receptacle to what the speaker has to say in this case me. And inherently tend to incline lean to the positive side of the cause and effect technique. I have improved on my delivery techniques in the course of the semester by preparing well before hand and employing more use of gestures and more rational and emotional appeals. Also, I have included all the three emotional appeals in my speech, ethos, pathos and logos so that I can be able to at least appeal to all types of audiences. I have also been over the stage fright. This problem is now long gone.
My main strengths in the speech were the proper employment and use of the rational, emotional and motivational appeals, some of my weaknesses were in the delivery and organization of the speech.
The main areas that need improvement are on delivery; I need to be more composed and impose credibility to the audience that I know whatever I am saying. Also, organization is another point of concern, beforehand preparation of the speech will help boost my composure. I also have plans in motion to work on my ordering criterion. The order will help in the nice flow of the speech. Researching on the content is what I also take will advantage of. Rigorous research and brainstorming will go a long way in content development.

Conflicts flare and emotions rise when the crime stats are released for the communities and their inhabitants.  The author of this paper discusses some of the strategies that go into forming these reports.  The author has selected Newport Beach, California for her stat analysis for this assignment.  She studies the data of these reports and shares her findings of the crime patterns with in Newport Beach.  Explains in detail about the crimes and the data that follows each crime. She compiles the stats and illustrates them in a graph covering 3 years of crime that occurred in Newport Beach, CA.    Further she recommends three manpower strategies that could be implemented into policing projects for support where there is weakness within the communities across the U.S.

Depending on the whether or not the crime rates have decreased or increased. When the crime rates are low the communities are more confident and  relaxed  it is then  the community’s confidence is restored.   On the other hand  when  crime rates are higher the community is in fear with  a sense of insecurity that  hovers over head.  Criminal activity in your community is unsettling no matter where you live.  The legal system must integrate community policing programs that include neighborhood watch programs  and together  with the community reduce the crime in their hometowns.,  Analysis reports are generated so that  policing  and  communities have an idea of the crimes their  area.  Citizens are an active force in community that continue to  yield some pretty amazing results.  Police reporting is a vital   function for the criminal data that analysis use while calculating the stats of these annual publications.

American Crime has evolved into a multibillion dollar Corporation for the Judicial System. The Corporation itself   has become a breeding ground for criminals of all varieties, nationalities and religion, with blue collar and white collared criminals alike, the crime rate is soaring  at an all time high and is expected to reach new levels in the upcoming years.

With focus on a 3 year span analyzing the reported crime stats for major/minor offenses which include murder, robbery, rape and assault.

The crime rate in Newport Beach, CA is considerably higher than the national average across the entire country, including all neighboring communities across America from the largest to the smallest the crime rate is currently at 27 crimes per 1000 citizens.  Newport Beach is one of the cities that report the lowest rate of crime.  The chances of becoming a victim of a property crime or whether you become the victim of a violent crime are 1 in 37.  FBI, (2012)

According to the FBI crime data, Newport Beach is not a very safe place to live. It has a crime rate of over 58% of the state’s cities and towns of all sizes.

If you were to look at the crime rates of other cities that have  similar  population in terms of size, The Newport Beach has a much lower than average crime rate. This translates to that the cities that are of a comparable size all across America; Newport Beach is a nice safe place to live.  Neighborhood Scout, (2012)

Neighborhood Scout used the crime data and the seven offenses while compiling these analyses from the Uniform Crime Reports collected from the FBI and about 18,000 local law enforcement agencies, which concluded both violent and property crimes, combined.

Now let us turn to take a look at how Newport Beach does for violent crimes specifically, and then how it does for property crimes. This is important because the overall crime rate can be further illuminated by understanding if violent crime or property crimes (or both) are the major contributors to the general rate of crime in Newport Beach.

Some research shows that the violent crime rate in Newport Beach is 1 per 1,000 persons. That is about average for most communities across the U.S.  The violent crimes that are tracked are

Armed robbery, aggravated assault, forcible rape, and murder as well as non-negligent manslaughter.  With similarities to the average nationally. The analysis has proved that your chances of becoming the victim of a violent crime in Newport Beach are 1 in 728.

Property Crimes is 26 in 1,000 populations which makes an above average chance of becoming a victim of a property crime, when compared to all other communities in America of all population sizes.  Property crimes include motor vehicle theft, arson, larceny, and burglary. The chances of becoming a victim of any of these said crimes are 1 in 39.  Today the crime rate has dropped e  3% last year a 5% decline in 2005.  Crime  rates were on the decline about 30% Peaked in the early 1990s, motor vehicle thefts continued to climb in California and most metropolitan communities around the entire U.S.  until 1996. While the decline in vehicle thefts over the past decade has not been as large,  it has dropped by 20%.  In 2006, the rate dropped a further 2%. The youth crime rate increased 3% in 2006, the rest increase since 2003. This increase was largely driven by a 9% increase in “other” Criminal offenses like disturbing the peace. Youth violent crime rose 3% while property crime dropped 3%.  more youths came into contact with the police in. 2005 and 2006 . fbi.gov.stats, (2012)

Building more prisons until half of America is locked up and the other half  their victims

By imposing longer prison sentences does not cure crime trends in America. What is the difference 5 or 12 years  because  whatever the reasons were for committing the crime  The hostile  prison environment  a wearhouse for the  criminal bodies   that foster hardness to their character  and then are  forced  to survive in.  Parole comes next and the offenders think that it is a cure all remedy but the wears of  confinement   intice them to commit future crimes.

A recommendation for law enforcement officials  would be to   beef up or increase  man-power on the cases that deal with property crimes.   Reassign  the homicide department  and have  because there has not been a single murder in 5 or so years.  And finally I would implement more projects where the communities and  police agencies join forces to reduce crime in their areas. This along with the aforementioned programs are sure to  restore confidence and instill values that will improve their quality of life.

To reduce crime an equal effort is necessary for the communities to get involved in projects that require community assistance . And to stop crime all together  would mean that the multi-billion dollar corporation called “The Judicial System.” Would be bankrupt   Even justice is for sale in America. I’m guilty of my crime, but no guiltier than the man who could afford justice. In my case justice means “just-us” pawns in the game of political chess, sa

In your opinion, how would

  • In your opinion, how would you conceal your investigative process in a case where you had to identify internal fraud crimes?

In my opinion, I would conceal my investigative process in a case where I had to identify internal fraud crimes with the use of surveillance equipment, i.e., nanny cams or a hidden camera in the area that was experiencing the loss.  For example, I would put a nanny cam by the register of a retail store if the theft was of missing cash or stock room where there was missing inventory.  Further, I would also use undercover private investigators and place them in the workplace posing as a customer or a (new hire) employee that would be working undercover to obtain the information needed to apprehend a fraud suspect or suspects.  Because an investigation would maybe spook the fraudster and he or she will conceal even further the crime, making it more difficult for the investigator to find. Finally another tactic to the investigation process is a simple interview using a non-accusatory manner, with an outsourced investigator that is skilled in this type of interview and knows what signs to look for, they are able to determine, with a high success rate if there is truthfulness. (Or lack thereof) from the employee by asking a series of routine questions and then leading into the issue under investigation.  By using this technique they are able to focus their attention on the actual suspect and by continuing the interview a high rate of success in getting a confession from the suspect either verbally or in writing. (Brindac & Son, 2012)

What do you think is the best method to evaluate a security breach to a:

    • Corporation’s database,
    • Employee credit cards, and
    • Corporate executive business accounts?

An emergency response team should be initialized, all the cash draws should be counted, assets managed, and an inventory of all checks and balances pertaining to the security breach.

Plan a layered defense approach there are many angles that an attacker can strike.  If security is not in check then 1 miss can cause a security breach and compromise the corporation’s database.
Further the layered approach eliminates some of the risk that is associated with the bottom layers of the security (defense) system by ensuring that it can take over where one left off.   Khalid, Kark (2008)

There is a downside to this layered approach.  Corporations need better training on the internal controls and what to look for within the workplace and social networking and develop a strategy to combat the attacks with security breaches. Khalid, Kark (2008)

Establish and test processes many companies have no plan of action or any process in which they respond to such attacks (security breaches). Through the plan from start to finish, so the process is familiar to the employees and the management departments alike.  In the event of a security breach everyone has rehearsed their role and knows when to start implementing the plan of action.  Further, the plan needs to be tested regularly and free of errors by, conducting simulated scenarios while working under manipulated stress conditions, this way the plan will show any flaws and or deficiencies in the plan thus,  keep up to date,  accurate  and in line with reality.  (Khalid, Kark, 2008)

Cultivate external relations without sources;

Law Enforcement Officials, FBI, Regulatory Authorities and Forensic Entity’s.
Building these relationships prior to an attack is important to a corporation.  If   a security breach arises there is no time to interview the right out sourced contacts, it is a waste of time and often times the needs are not meet in terms of finding the right partner to assist.

Make the breach known to the public

Once the breach is discovered it needs to be publicized in order to avoid penalties for not complying within the time frame of what is reasonable for the breach.  In the event that the breach is of great magnitude this will spare the company the embarrassment and the customers and regulators are more forgiving.  However, Corporations need to be 100% sure of the breach by a verification process before going public with the facts of the case. (Khalid, Kark, 2008)

Finally, Understanding the legal ramifications and jurisdictional expectations of the organization before the initial emergency response team is dispatched. For example, know what is required in the state in which the corporation practices. Each state has their own rules and regs.

Though PCI Compliance is now mandatory for any organization that processes credit card transactions, Integrating the tenants of PCI DSS, as well as   SSL –encryption. (PCI 2012)

Place anti-virus detection software at each work station and server.

In your opinion

In your opinion, what would be your plan to review the case of identity theft toward the university professors? Why?

Through  my research,  I discovered a plan to review the identity theft against the university  professors.  Because this process that I use to investigate  often results  in the successful conclusion of a thief of ones identity

1).           Identify the victim and the crime that was committed. At times it is the perpetrator themselves who call and file a report of fraudulent activity that was charged to their credit card accounts. This is a maneuver that the perpetrator uses to throw off the investigator. J. Collins, PhD, (2012)

2).     Review the credit report of the victim, if the statement comes from the victim himself look for altered documents and missing information on their credit card  statements.  If the claim is legit then the complete statement is in tact with no omissions. If the report contains a few different spellings of the victims name then that is a sign that the perp is applying for credit or some financial service  in the victims name and unclear how the victim takes legal  title to the credit account. ( For example, Alex Jay Smith  or A.J. Smith or  A. Jay Smith   or just  Mr. A Smith). J. Collins, PhD, (2012)

3).        Speak to the Victim ask him questions about the multiple aliases that appear on his credit report.  The interview  should be centered around the descrepencies in the credit report  a second interview may be necessary to get the information that you are requesting.

Note:

Most of the Identity theft claims that are filed are legit, but there is a small percentage that are fraudulent and is easily identified early in the investigation. Usually identity theft is done to multiple people at a specific business where identifying information was stolen then there would be multiple victims complaining of extra charges, not just a single case.

4).        Obtain a compete credit report from each of the credit reporting agencies Equifax, Transunion, Experian since these agencies does share information there should be a fraud pattern as far as what was purchased and where was the purchase shipped to. J. Collins, PhD, (2012)

5).        Study the fraudulent credit applications of the victims usually the fraudster will slip up  not realizing his mistake he gets caught by putting his own phone number or address on the application.  J. Collins, PhD, (2012)

Do you think identity theft can be stopped? How would you propose to stop it or at least slow it down?

I do not think that identity theft can ever be stopped, with technology advancements and the declining economy there will always be a fraudster that makes a living off unsuspecting  law abiding citizens.  I am all for harsher punishments for these criminal offenders, The guilty should be sentenced to a job for a minimum of the length of time it takes to pay the victim back all the money that was taken from him or her  by the accused plus penalty assessments. Why should  taxpayers pay for the loss to  the banks and the prison system to house these thieves.   If these crooks spent half the time focusing on an honest profession as they do in defrauding others they would be rich.

He come to Camp Half-blood, where there are a lot of half-blood live, and begin to accept that he is the offspring of god and human. Percy learns that his father is Poseidon, the god of the sea, and is identified as the thief who has stolen the master bolt of Zeus. In order to save him mother out of the underworld, prove himself is innocent and stop the war between his father and Zeus; he goes on the quest with other two friends. Although there are a lot of monsters want to kill them on the quest, the three finally get the lightning bolt form Ares, who is the god of war, and return it to Zeus before the summer solstice. To thanks Percy of returning the helm of darkness, Hades sent his mother back to home. They finally find out that Luke is the one who stole the bolt and Koronus, who is the father of Zeus, orders him to do that. There will be a lot of things Percy should do in the future, as long as he is ready, and he will return to Camp Half-blood next summer. To be continued…

I really like this book about how Percy Jackson becomes a hero. He is just a troubled kid when he is in Yancy Academy and he is no dream, no expectations and no thoughts about how his future will be like. But when he gets into the quest, everything has changed. Percy realizes that he is special and the gift makes him stop the war. He wants to make his father, Poseidon, to be proud of him and to prove that he is worth his mother scarifying for him. Also, the friendship among Percy, Annabeth and Grover becomes unbreakable and he is more responsible for what he is doing and more clear about his duty, to protect people round him and save the world. He is a hero, and I am so glad that he has succeed in the end. The story is not finished, and I am really looking forward to what Percy is going to accomplish next.

He reported stories on very different areas, World cup, fashion, travel, and technology. He is also a hardworking man–staying in the office almost all day and all night–and a knowledgeable man.

He introduced himself at first; like what his first published report was writing for his school newspaper. Then the audience began to ask question; most of them were about McChrystal, who was fired by Obama because of his words writing in Michael Hastings’ report in Rolling Stone magazine. Michael Hastings said that he hasn’t thought about McChrystal would lose his job, however, he like that guy. And the interesting thing was that when they were in the bar, McChrystal was drunk and said something cannot say, and he didn’t even said the talk could not be recorded, and he regretted the next day when he get out of the drunk.

Through out the speech, I think Michael Hastings is a great great journalist because he can win the trust of the people he interviews. He mentions in his answer, “My goal of writing is trying to get people to think about American foreign policy” and he has already done it!

Academic integrity is very important in colleges and universities, it is the base of the normal school live. To get through this, I think we should follow several points

The first one is to be an honest person. This is important, so do not lie to other people or cheat at exams and tell the truth.

The second one is considered as courage. Sometimes we may face problems that are difficult to solve, and we may nearly give up trying, so we need courage to stand up, then be no afraid of these sorts of difficulties.

The last one is trust. Be kind to everybody in the campus and do your best to trust your friends.

In this way, I think we’ll get full mark at Academic Integrity.

2) Narrative Form:

Narrative Form is kinds of passage writing form. When we describe stories or retell the incidents we use Narrative Form. It can make our articles more attractive and also provide an imaginative world for the readers.

When we use Narrative Form we should pay attention to our sentences. It can’t be too lengthy, so concision is very important.

3) Rolling Stone magazine

Rolling Stone magazine is a magazine for the famous band named Rolling Stone. I checked their website and found there was a part about Michael Jackson, one of the greatest singer, dancer, and philanthropist.

This magazine is a commemorative one which can always remind people of the brilliant band-Rolling Stone!

4) Trope

Trope is a special skill we use in writing articles. It can make our sentences beautiful and pleased to read by the readers. For example, dogs are cute. If we use trope and add beautiful description to the passage, it may change into a completely different sentences. Let me give a try, dogs are so cute that it just like a lovely doll in my arms right now. That’s make sense.

Workplace Communication Comparison

Complete the following matrix. For each communication method, list its purpose in the workplace, whether it is a technical or expository form of written communication, and why you classified it as such.

Written communication method Purpose in the workplace Technical or expository writing Why classification was chosen
E-mail To either inform or make a request. Technical and expository An email could be technical if the sender was providing information on products or services. It could also be expository if the sender was trying to persuade the receiver to buy something.
Memos To inform employees/co-workers of policy changes. Could be technical and expository The reason for choosing both is because if the memo is a policy it would not only state the change but also explain it.
Letters Could be used for communicating outside of the business. Expository I chose expository because letters are can be sent to either sell something or file a complaint. Either one of these examples would have to be explained.
Manuals Training material Technical I chose technical because manuals show the user how to use a product and how to fix or troubleshoot a product.
Web pages Company Intranet or internet. Provides information on the company. Could be technical or expository I chose both options because depending on the content of the web page it could go either way. For example if the site is DYI that would be more technical and if it was a site like Progressive Insurance it would be expository.
Other – Communicator To send short quick request for information. Technical I said technical because this is mainly used to get quick answers on work related issues.

Answer the following questions:

  1. What is the most common form of written communication in your workplace or in a workplace you are familiar with? Is expository or technical writing the most common form of written communication in this workplace? Who is responsible for most of the technical writing in this workplace?

The most common form of written communication in my current job is technical. I am in the engineering department so each engineer is responsible for documenting their part of the project. I set up purchase orders for the engineers so that too is technical in the since that I need to be specific when parts are ordered. Along with documenting new products we use email and communicator quite a bit. These exchanges can be technical and expository.

**Note: communicator is instant messaging software that we use.

  1. What are some common issues you have seen with written communication in the workplace?

One issue that comes to mind is clarity. There are times when coworkers make request that are not clear. This in turn needs follow up with the requester for clarification. Other issues that I have seen are incorrect spelling and grammar. This happens most often in emails and the use of communicator.

  1. How can an organization benefit from well written communication?

An organization can benefit from well written communication in a number of ways. When written communication is clear there is less time spent by employees trying to figure out what to do and more time spent producing product, therefore making more money for the company. Clear communication can also cut the cost of material by reducing scrap.

  1. How do written communication skills differ from verbal communication skills? What are the challenges a skilled verbal communicator might face when creating technical writing?

Written communication skills have to be clear and straight to the point where as the verbal communicator can be more descriptive when explaining a process. They can also show the person how to do the process.

One of the challenges that a skilled verbal communicator could have when creating technical writing is not having the ability to actually show the person what they are talking about. The verbal communicator would have to be able to get all of the facts straight so that there is not confusion on the reader’s part. They may also get to wordy and use technical terms that are not familiar to the normal person.

Communication and Relationships

“Whenever you’re in conflict with someone, there is one factor that can make the difference between damaging your relationship and deepening it. That factor is attitude (James, n.d).”   Relationships are though they require time to build, and when communication is an issue it can cause a relationship to take a bad turn.  According to an article on Science News love flames may be fanned out if words like I, it, but, and under are being used in everyday conversation within partners, this was proven using computers programs like Language Style Matching (Bower, 2010).  Using Language Style Matching I will analyze a conversation between my husband and I, with the information given about the conversation I will critique the feedback and view if this program can thoroughly predict an interrelationship future.

The messages used in Language Style Matching were text messages between my husband and I, the conversation consisted of an argument we both had a night ago, but both were too tired to talk about it, and so had 24 hours to reflect on the argument.  The feedback given about the argument was below average score 0.65, 0.84 being average, it states that it views how much two people are paying attention to each other.   I do not believe the results are accurate since my husband and I worked out the argument within that text, since a few night before we had argued, we felt we could truly communicate better this way, then in words, since we both have tempers.

The conversation consisted of my husband and me arguing some points that we felt needed to be solved and opinions understood before we made untruly conclusions.  In the text we send many emoticons so one could know how we were feeling as we progressed in our argument.  By the end of the argument it was found that I had misunderstood something he had said a night before and do to our busy lives left it in the back of my head, but when talked about he truly did not meant what was said to sound how it did.  That night his attitude was not that great he was tired and had to do a long shift at work so when we spoke that night his choice of words where not thought out thoroughly and I never considered that his general attitude could have conflicted with our conversation.

In our text book it states that to interact well people need to improve self-control (Sole, 2011).   In the argument my husband and I had that night and during the text message differentiated in self-control.  That night we were both tired and gave no attention to self-control and during text messaging we were more careful about hurting each other feelings by saying something wrong, when trying to work out through a problem, so we expressed self-control, which helped us clear the air.  Though when I used the Language Style Matching the feedback given was that we had no paid too much attention to one another, but I believe it was because of our style of communicating, and the use of emoticons.  For this reason I do not believe that this is a through way to predict the quality of interpersonal relationships, since it did not gather that my husband and I were connecting even though the conversation was short, expressly and with emoticons.

Relationships are one of the toughest thinks I believe as human being can conquer if done well by using communication appropriately by showing self-control and not being selfish of situations.  I believe we all have a choice in our relationships and if you see communication being an issue, one should do something to change it since communication can continue being an issue until you find someone that just puts up with it.  My husband and I have not communicated well and have chosen many times to be selfish but later realized we were just hurting ourselves and that for us to continue being together and for our business lives to fortune we would have to learn to have self-control and better ways of communicating.

Communication is one of the most important factors in a successful organization. Good communication among employees and internal departments can make a difference between success and failure. Most organizations have several outlets and means for communicating. Every employee within an organizational is responsible for effective communication that will help advance a company. Holiday Inn Express hotels provide several different channels for communication among employees, management, departments, and most important, guests. Informal and formal communications are vitally important; the manner in which the communication is sent and received is especially important.

Organizational Communication Within Holiday Inn Express

Communication is one of the most important factors in a successful organization. Good communication among employees and internal departments can make a difference between success and failure. Most organizations have several outlets and means for communicating. Every employee within an organizational is responsible for effective communication that will help advance a company. Holiday Inn Express hotels provide several different channels for communication among employees, management, departments, and most important, guests. Informal and formal communications are vitally important; the manner in which the communication is sent and received is especially important.

Communication and Feedback

Guests are the most important aspect in the hotel industry. Communication with guests will not only make a difference in the guest experience but will also make a difference in guest satisfaction. Maintaining positive and ongoing communication channels between every employee and manager will also help ensure that guests are the top priority. In a small hotel, like a Holiday Inn Express, there is only one front office employee on each work shift. It is extremely important that all guest problems, issues, or concerns are communicated clearly and effectively between every employee, regardless of the lack of contact between each employee. Email is the simplest and easiest means of communicating. Emails can be easily printed and saved for future reference and an email can be addressed to numerous individuals. Emails can also be marked with a level of importance and priority so that pressing issues or concerns can be addressed more quickly.

Daily written logs are often used in conjunction with emails. Logs provide an outlet for each employee to communicate any pertinent information that needs to be known by other employees. Daily logs also contain information for other departments; potential problems with maintenance issues or housekeeping issues can be addressed in a daily log. Memorandums are used frequently by management to ensure that changes are implemented by every employee and to ensure that every employee is made aware of policies and procedures. Along with written communications, telephone communication is also widely used. Every employee provides telephone contact numbers that can be used if something needs to be addressed that is not in the daily log. In conjunction with telephone calls, text messaging is also a highly effective means of communicating within Holiday Inn Express. For guests who are at the property, face-to-face communication and telephone communication are the only acceptable ways to interact. Front office employees also use email, telephone, and facsimiles to communicate with past or future guests, depending on what the guest prefers.

Feedback is just as important as the initial communication contact. Feedback ensures that a message was received in the manner in which it was intended. Perception can make a difference in every manner of communication. (Schermerhorn, Hunt, and Osborn, 2008). Sending and receiving messages cannot be fully effective without feedback. In a hotel, it is extremely important for both parties to fully understand the meaning of a message and to be able to react in the appropriate manner. Often, issues must be addressed and corrected within a certain timeframe in order to ensure guest satisfaction.

Barriers to Effective Communication

No method of communication is the correct or only method as each method has potential barriers. Face-to-face contact allows a communicator to use body language as well as words to convey a message but in the hotel industry, face-to-face contact is not always an option. Telephone communication allows for voice inflection to help the message to be received as intended, but telephone communication can be intrusive on personal time. Written communications such as emails, memorandums, faxes, and the daily log book do not allow for body language or voice inflection so the message may not be received as intended. Email can be a less efficient communication process than a log book because email is not always checked immediately. Written messages also have more potential for grammatical and spelling errors which may complicate the message.

In a hotel there are often cultural factors that can hinder effective communication. “Language, environment/technology, social organization, contexting, authority, nonverbal

behavior, and conceptions of time” are some of the “variables that affect business communication as they shift across cultures” (Jameson, 2007, p. 201). The housekeeping and maintenance departments are comprised of individuals who speak English as a second language; the general manager also speaks English as a second language but his primary language is not the same as the housekeepers. The individuals in the housekeeping department do not write English so verbal and written communication can both be difficult. Without a fluent language translator available, the front office has to find alternate means of communicating to the housekeeping and maintenance departments. Symbols and body language are the most effective ways to communicate when verbal and written communications are not an option.

Perceptions, Values, and Personalities

Values and personalities can affect the way a message is sent and the way it is received. A negative message can be received even more negatively by an individual who is more inclined to take criticism personally. The front office employees of the Holiday Inn Express have several different personality traits. Often the same message is received differently by two or more employees based on perception and personality. A message that goes against personal values can also affect communication. Individuals who dislike a message may become defensive and negative, whereas individuals who like the same message may be more positive in regards to the message.

Holiday Inn Express is not unique in that communication is one of the most important factors of the business. Sending, receiving, and feedback are all important aspects in the communication process. Every method of communication has potential problems, but feedback can help ensure that the sender and receiver are both in agreement on the meaning of a message. Organizations that have a number of individuals with different cultures, values, and personalities must ensure that communication is done through non-offensive methods and that the perceived message is the same as the intended message. Any method of communication can be effective as long as both parties work together and understand one another.
